Calendar, Practices and availability

Coordinate Events, private Practices and member unavailability in the Project’s shared Calendar.

Read the month and day views

Open the Project and select Calendar. Previous and Next move between months. On touch screens, swipe left across the dates for the next month or right for the previous month. Today is underlined, and the selected date is highlighted.

The legend identifies Events, Practices and Unavailable indicators. Select a date to see that day’s cards below the month, including names and schedules. Loading and empty states distinguish a day without activity from a schedule that has not loaded.

Events and Practices appear on their start date in their own timezone. An overnight Event or Practice is not repeated on every day it overlaps. Unavailability can mark each covered date. Check the displayed timezone and start/end times when coordinating across locations.

Holidays and notable dates

Public holidays use your account country when available, otherwise the application locale and finally a browser locale with an explicit country. Country-level holidays are shown; region names are not guessed. A small country-specific set of notable dates adds useful context without treating them as public holidays. Unsupported countries have no overlay.

Show holidays and notable dates defaults to on. Your choice is remembered for your user across Projects in this browser, including other open tabs. It does not sync to other devices, and blocked browser storage keeps the choice only while this calendar is open.

These are date-only, read-only labels. They never move to another day because of a timezone conversion, create Events, Practices or unavailability, change conflicts, appear in event lists or counts, or send notifications. Select a marked day for the full name and Holiday or Notable date category.

Events appear without duplicate entry

Create or edit an Event in Events, and the saved schedule appears in Calendar. Both private and published Events are visible to active members. Open an Event card to manage its schedule, Set List or sharing.

Calendar combines the schedule; it does not create a second copy of the Event. Songs and Set Lists themselves are not dated Calendar entries. Link the selected Set List to the Event to connect the performance order to the schedule.

Create a private Practice

Active Project members can schedule Practices. These and their notes remain inside the Project; they are not public Events.

  1. Select the date in Calendar, then + Add Practice (or the Add Practice action for the selected day).
  2. Enter Practice Name, Practice Date, Start Time, End Time and Timezone. Add optional Notes.
  3. Leave Repeat as Does not repeat for a single Practice, or choose Weekly and set Weekday and Repeat until.
  4. Select Create Practice. The selected day updates to show the saved Practice.

Weekly Practices and changes

Practice and unavailability times use separate hour, minutes and AM/PM controls. New entries start with PM selected; choose AM when needed. Existing times prepopulate every segment, so you can change just the hour, minutes or AM/PM without retyping the rest. Tab moves between segments.

Weekly Practices require an end date within 6 calendar months of the first Practice, with at most 28 occurrences. Changing Weekday moves the first Practice to the next matching date. The form validates the series before saving.

Open Edit Practice on a day’s card, change the schedule or notes and select Save Practice. In a weekly series, edits apply to this occurrence only; there is no edit-entire-series control.

Use Delete Practice, then Delete this practice to remove one occurrence. For a weekly series, Delete entire series removes the series’ remaining saved occurrences, including rescheduled ones. The confirmation provides Cancel deletion if you want to keep it.

Practice times follow the selected timezone. An end time earlier than the start time finishes the next day. Repeated clock times require a first/second choice; skipped clock times cannot be used.

Mark unavailability

Unavailability is a member’s schedule, not an Event or a Practice. Members can manage their own; Project Owners and Admins can also manage current members’ unavailability.

  1. In Calendar, select + Add Unavailability. Choose the Member if you have permission to manage others.
  2. Choose One time / Date range and enter start/end dates, or choose Repeats weekly and set Every and Repeats from.
  3. Leave both times blank for all-day unavailability, or complete both times for a specific interval. One time / Date range includes both selected dates when all-day. To change a timed entry to all-day, clear the hour and minutes in both time controls.
  4. For a weekly schedule, optionally enter Repeat until; leaving it blank continues indefinitely. Choose the Timezone.
  5. Select Save Unavailability. Open a manageable unavailability card to edit or delete it later.

Understand availability privacy

Current Project members see the member’s name, dates, times and whether unavailability repeats. There is no reason or private-detail field. The record appears in every Project the member currently belongs to; it is not restricted to the Project where it was entered.

Changes to a weekly unavailability record update that repeating schedule. It does not have Practice-style occurrence editing. Leaving a Project removes that Project’s access to the member’s availability; the member’s schedule still exists for their other current Projects.

Use Calendar to coordinate the team

Prepare repertoire in Songs, arrange it in Set Lists, and link a list to the Event for the gig. Calendar brings that Event schedule together with rehearsal Practices and member unavailability. Use Messages or a Poll when you need the team to decide between dates; a Poll does not automatically create a schedule entry.
