Songs and repertoire

Build your Project’s Song Catalog, track what you are learning, and reuse songs across Set Lists.

Add a song

Songs is your Project’s shared repertoire, including ideas, rehearsal material and performance-ready songs. Active Project members can add and edit songs.

  1. Open the Project and select Songs, then + Add Song.
  2. Enter Title and Artist. Choose Status, or leave the default Suggested.
  3. Optionally add Key, Tuning, Shared notes, Song length, Lyrics, YouTube URL and Spotify URL.
  4. Select Add Song for the normal saved-song confirmation, or Save & Add Another to save, reset every field, and focus Title while staying on Add Song. A failed save preserves your entries.

Choose a song status

These statuses describe preparation within this Project. They do not publish a song or automatically change any Set List.

  • Suggested: A song the Project is considering but has not yet committed to learning.
  • Working On: A song the Project is rehearsing or preparing.
  • Show Ready: A song the Project considers ready to perform.
  • Dropped: A song the Project has decided not to continue with, kept in the catalog for reference.

Edit an existing song

Select the song title in Songs, change the fields you need, and select Save Song. You can also change Status directly in the desktop Songs table, or from the song actions menu on mobile.

Previous song and Next song move through the catalog. If you have unsaved edits when using the song navigation or return links, choose Keep editing, Discard changes, or Save and continue.

Set Lists reference the Project song. Saved changes to its title, artist, key, tuning and length appear when those Set Lists are loaded again; Stage View lyrics use the saved Song lyrics. Editing a song does not rearrange its Set List positions.

Notes, lyrics and length

Shared notes are for the Project, up to 4,000 characters. Lyrics are optional and private, up to 40,000 characters including formatting. Only add content you have the right to use. In Lyrics, Enter creates a paragraph and Shift+Enter creates a line break.

Enter Song length in minutes and seconds, or leave it blank if unknown. Set List estimates add song lengths; they do not include breaks or transitions. Missing lengths make the estimate incomplete.

YouTube URL and Spotify URL store links you supply. They do not import song information or lyrics.

Find songs in the catalog

Search by part of a song title or artist. Use the Status control to filter to Suggested, Working On, Show Ready or Dropped. Choose All to clear only the status filter; Clear search clears only the search text.

The matching-song count updates with your search and status filter. Use Sort by to order songs alphabetically by Song or Artist, or by status (Suggested, Working On, Show Ready, Dropped). Search, status and sorting work together. Arrange performance order inside a Set List instead.

Importing Songs from CSV

Use CSV to bring an existing band catalog into a Project. In Songs select Import Songs. Use Select CSV File or drag one CSV into the upload area to preview it. Download CSV Template is available below the upload area if you need the column format. The selected filename and size appear in the upload area; use Change file to select another CSV or Clear file to discard the preview. You will review everything before anything is written. Only active Project Owners and Admins can import. Ordinary members can still manually add songs.

The template includes all supported song fields. Only Title and Artist are required, matching manual song entry. Fill in any other details you have or leave them blank. Download the UTF-8 CSV, open it in Excel, Google Sheets or another spreadsheet tool, add songs, then save or export as CSV before uploading.

Optional columns: Status, Key, Tuning, Shared Notes, Minutes, Seconds, Lyrics, YouTube URL, Spotify URL. The template includes them for users who already have that information; a CSV with only Title and Artist is also valid. Supported header names ignore case and surrounding whitespace; unknown or repeated headers are rejected.

Import with AI accepts a PDF, PNG/JPEG photo or screenshot, DOCX, XLSX or UTF-8 text file. Upload one file up to 5 MB, with no more than 10 PDF pages or 200 songs. The file is sent to OpenAI for extraction and is not added to Project media. Usage is limited to manage service cost and prevent abuse.

AI extracts only information from your file; it does not research missing details or generate lyrics. Unknown values stay blank. AI can make mistakes: use Edit details to correct fields, including a missing Artist. Validation, counts and duplicate checks update automatically. Remove excludes an unsaved row from this preview; Undo restores its edited details and action. Existing Project songs are never deleted by preview removal. Skip keeps a row visible without importing it. Resolve any remaining attention items before confirming; at least one song must be ready to import. Blank Status defaults to Suggested for new songs. AI analysis never creates Songs automatically.

Select one file ending in .csv (case-insensitive) using Select CSV File or drag and drop. Both use the same file-size and CSV validation. Browser or operating-system MIME labels do not determine whether a CSV is valid. The preview checks structure and song fields before you confirm saving anything.

The limit is 200 rows and 512 KB per file.

Status is optional. Missing or blank Status defaults to Suggested for new songs. Supplied Status accepts Suggested, Working On, Show Ready or Dropped, ignoring case and surrounding whitespace. Blank Status never changes the status of an existing song when replacing it.

Minutes must be a nonnegative integer and Seconds an integer from 0 to 59. Together they must be 0:01 through 999:59, or leave both blank. They become the same stored song length used by manual entry.

Use plain text for Lyrics and Shared Notes. In a spreadsheet, enter line breaks inside the cell and export as UTF-8 CSV. CSV fields containing commas, quotes or line breaks must be quoted; double each embedded quote. Lyrics import as safely escaped formatted paragraphs and line breaks, never executable HTML. Existing character limits apply, including the formatted lyrics limit.

YouTube URL and Spotify URL must be valid HTTP or HTTPS links when supplied, following manual entry rules. They store links only; nothing is fetched from those services.

CSV and AI previews both support Edit details. Validation, duplicate checks and readiness update automatically as you edit. Remove song removes only an unsaved preview row; Undo restores its edited details and action. It never deletes an existing Project song. Skip keeps the row visible without importing it. At least one valid, actionable song is required before confirming.

Duplicate matching uses Title plus Artist within the current Project only: trim surrounding whitespace, collapse repeated whitespace and compare case-insensitively. Songs in other Projects do not count. Matching earlier rows in the same CSV are also flagged; there is no fuzzy matching.

Add Another Version creates a separate song, useful for acoustic versions, different keys or arrangements. Replace Existing updates the matching song using only nonblank supplied CSV fields. Blank optional cells never erase existing information. For example, a CSV with Title, Artist and Key updates Key while retaining existing Lyrics. Minutes and Seconds form one value: if either is supplied, the other blank part is treated as zero.

Skip leaves the matching song unchanged and does not import that row. Apply this choice to all duplicates sets a common choice; each row can still be changed individually. If multiple songs match, select the target to replace. A replacement of an earlier CSV row requires that earlier row to be imported, not skipped. Rows are processed in CSV order, so later replacements of the same song update the values provided by those later rows.

Confirm Import commits the resolved batch together in a transaction. If the Project catalog changed after preview, or any validation/write fails, nothing is imported: select the file again for a fresh preview. Successful results report songs added, songs updated, rows skipped and zero errors, with View Songs to return to the catalog. Select another file to import again.

Share or back up songs as CSV

Download CSV on Songs exports the entire active Project catalog, regardless of search, status filters or checkbox selection. It includes all supported import columns, including optional notes, durations, links and lyrics converted to portable plain text. The blank template includes the same supported fields. Styling such as bold is not exported. The file contains no internal IDs.

Use the file to share a repertoire or keep a copy before removing songs; Songs has no undo action. Spreadsheet formula-like values are prefixed with an apostrophe for safety. A catalog larger than the import limits must be split into smaller files before import. Existing Project members can download songs they can view; import still requires Owner or Admin permissions.

Dropped versus Remove song

Choose Dropped to keep a song in the catalog while setting it aside. It stays available in Set Lists that already use it.

An Owner or Admin can select Remove song from the song's actions menu in Songs, or use the Remove song button on the song editor. Confirming removes it from the active catalog, and it stops appearing in Set List views. To remove a song from just one performance order, use that Set List’s remove control instead.
